Administrative Policies

The following administrative policies outline how MindHelp Therapeutics operates. These policies are intended to provide clarity, consistency, and transparency, and to support high-quality psychiatric care. Please review them carefully prior to scheduling.

Appointment Scheduling & Cancellation Policy

Appointments are reserved specifically for each patient. A minimum of 24 hours’ notice is required for cancellation or rescheduling.

  • Cancellations made with less than 24 hours’ notice, as well as missed appointments, are subject to a $100 cancellation fee

  • Cancellation and no-show fees are not covered by insurance

  • Repeated late cancellations or missed appointments may affect future scheduling availability

Fees & Payment Policies

MindHelp Therapeutics offers psychiatric services through insurance-based platforms (Headway, Alma, and Grow Therapy) as well as fee-for-service (private pay) appointments.

  • Payment is due at the time of service

  • Insurance coverage, copays, and deductibles are determined by the patient’s individual insurance plan and verified through the applicable platform

  • Administrative and non-clinical services are not reimbursed by insurance

  • Private pay rates and insurance participation details are outlined on the Get Started page

Insurance-Based Care (Platform-Specific)

Patients utilizing insurance must schedule appointments through the applicable partner platform. Platform policies govern eligibility verification, claims submission, and reimbursement.

Insurance-based appointments may be scheduled directly through the platform or by contacting the office. Platform calendars may not reflect full availability due to scheduling windows or provider-held appointment blocks. If an appointment time is not visible, patients are encouraged to contact the office for assistance with scheduling based on current availability.

Paperwork & Administrative Requests

Requests for paperwork or documentation require clinical review and professional time outside of scheduled appointments.

  • Paperwork is completed for established patients only

  • Completion of documentation is not guaranteed and is determined by clinical judgment, medical necessity, and ethical guidelines

  • Administrative services are billed per form or per request

  • Fees apply regardless of outcome, approval, or third-party determination

  • Administrative fees may be subject to platform and payer rules and may not apply to all insurance plans

Paperwork Processing Timeframe

  • Standard processing time is up to 10 business days

  • Paperwork is not completed on an urgent or expedited basis

Examples of billable administrative services include, but are not limited to:

  • Disability or medical certification forms

  • FMLA documentation

  • Emotional Support Animal (ESA) letters

  • Employer, academic, or accommodation forms

  • Formal letters, record review, or documentation outside of visits

Forms, Letters & Documentation Limitations

Documentation reflects the provider’s clinical assessment and professional judgment. Completion of forms or letters does not guarantee approval by employers, schools, insurers, housing providers, government agencies, or other third parties.

Requests for forms or letters are not evaluated during initial appointments or one-time consultations.

Telepsychiatry Services

Psychiatric services at MindHelp Therapeutics are currently provided via secure telepsychiatry, in accordance with state licensure requirements and applicable platform policies.

While MindHelp Therapeutics maintains professional office locations to support licensed practice operations, patient appointments are conducted virtually at this time. Telepsychiatry services are delivered with the same clinical standards, privacy protections, and professionalism as in-person care.

Communication Policy

To maintain appropriate boundaries and quality of care:

  • Clinical care and treatment decisions occur during scheduled appointments only

  • Non-urgent communication should be directed through the patient portal or designated contact channels

  • Email is not used for clinical decision-making

  • Response times may vary based on provider availability and message urgency

Emergency & Crisis Care

MindHelp Therapeutics is an outpatient psychiatric practice and does not provide emergency or crisis services.

In the event of a psychiatric emergency, patients should:

  • Call 911

  • Present to the nearest emergency department

  • Contact the 988 Suicide & Crisis Lifeline (call or text 988)

Policy Updates & Acknowledgment

These administrative policies may be updated periodically to reflect changes in clinical practice standards, regulatory requirements, or platform participation.

By scheduling and attending appointments with MindHelp Therapeutics, patients acknowledge and agree to the administrative policies outlined above.
